1. ADMIN ROLE – CORE RESPONSIBILITY
The admin is not just paperwork — they are the backbone of sales
conversion.
Main Duties:
Maintain all booking & enquiry documents
Track every lead (no missing follow-up)
Coordinate between sales team & clients
Ensure payment + document completion on time
Push pending leads toward conversion
2. DOCUMENT MANAGEMENT SYSTEM
A. Lead Entry (Daily Mandatory)
Every enquiry must be recorded in a sheet / CRM:
Fields to maintain:
Client Name
Contact Number
Travel Destination
Travel Date
No. of Pax
Budget
Source (WhatsApp / Instagram / Reference)
Assigned Staff
Status (New / Follow-up / Confirmed / Lost)
👉 Admin must update this daily without fail
B. Booking File Creation
Once client shows interest:
Create a Booking File (Digital + Physical)
Include:
Quotation shared
Client ID proof
Travel tickets
Hotel vouchers
Payment receipts
Special requests
👉 File naming example:
ClientName_Destination_Date
C. Payment Tracking Sheet
Maintain:
Total Package Cost
Advance Received
Balance Pending
Due Date
Admin should alert sales team 2–3 days before due date
3. FOLLOW-UP SYSTEM (MOST IMPORTANT FOR SALES)
